Gap professional are operating as an employment agency on behalf of its client, who are looking for a Freight Co-ordinator (Exports)


Job Type: Permanent
Location: Exeter
Hours of work: Monday - Friday 8.30am - 5.00pm
Salary: £23,000

Summary:

Reporting to the Group Freight Controller and working with the Group Freight Team to deliver excellent Customer Service in line with Company guidelines, legislation and standards.

The role is also integral to initially concentrate on pre Brexit import and export requirements and to be fully conversant with the regulations and requirements and more specifically for export. Post Brexit you will be assisting in the creation and development of an internal 'entry clearance team' and deliver the export entry requirements of this department. Additional training and resources will be provided.

Responsibilities:

Export Documentation & Procedures

  • Take over the preparation of export entries and arrange shipments when clearance team has been established. This will require additional resources once the department has been created
  • Assist with all the administrative requirements therein
  • Ensure VAT compliance by internal audit of the SDS system and the necessary proof of export - ensure all documents are compliant
  • Responsible for ensuring legal understanding and customs regulations remains up to date and these details are issued to the relevant team members
  • Prepare supporting shipment documentation as and when required through software systems
  • Fully understand origin regulations and supporting documentation
  • Prepare instruct and liaise with warehouse teams regarding delivery schedules as necessary
  • Chase shipment status information through to final delivery when required
  • Deal with any deviations or transport issues as they arise
  • Deal with any clearance issues as they arrive
  • Liaise with suppliers/customers when any transport issues occur
  • Match and review entries for checking purposes with relevant files
  • Allocate duty deferment statements where required
  • Match invoices and update registers for export shipments

Compliance

Internal Auditing

  • Responsible for checking export documentation is complete and collated for internal audits
  • Carry out audits of the SDS system and the necessary proof of export
  • Provide assistance with VAT/Duty reconciliation

External Auditing

  • Ensure appropriate action is taken by relevant team members and follow up in the event of any audit failures
  • Issue compliance audit updates to appropriate Directors and Managers

Other

  • Ensure all departments are kept up to date with the latest HMRC compliance details

REQUIREMENTS:

  • Experience of working in Freight focussed environment
  • Excellent communication skills, both oral and written
  • Attention to detail
  • Organisational and time management skills
  • Work independently, using your own initiative in a calm and methodical way
